Job Description: |
Job Purpose:
Povides HR general support for the HR operation of YCIS Shanghai with focus on visa applications for foreign staff and onboarding process.
Duties:
HR Operations: Visa application and on-boarding for Foreign expat staff: •Responsible for the entire process of Foreigner’s work permit application (Staff, Staff’s dependents, and Students), including preparing, translating and submitting of paperwork to apply for Work Permit Letter and Visa Invitation Letter, liaising with teachers who are overseas to ensure smooth process in visa application and entry into China. •Responsible for the entire process to renew work and student visas for Staff, Staff’s dependents, and students. •Update HR Supervisor and Head of HRD about visa application status, passport expiry status, visa expiry status, special cases summary, and statistics on a semi-annual basis (March/September). •Be the single point of contact to manage Expat Staff on-boarding progress,including arrange medical check,facilitate setup of bank card,cellphone and Internet service. •Annual expat staff visa and work permit extension •Expat passport information change for Expert card and visa •Expat Non-Criminal Record application •Banking issues, monthly overseas transfer set up, and related assistance •Prepare invitation letter, document translation
HRMIS System: As system project member, assist HR manager with personnel data and organization module management and system implementation。 Regular HRMIS system user to maintain and update employee’s data in the system(around 500 employees)
Compensation & Benefits: •Yearly festival benefits purchasing and vendor choosing, like Mid-Autumn Festival, Dragon Boat Festival, New Year Festival •Annual health-check: supplier invitation of tender; requirements collecting, optimizing the physical examination items and institutions. •Well-being Medical Insurance: checking the breakdown of the bills, calculating the amount for both employee and the company according to the school policy.
Admin Support: •Business trip booking •Support yearly HR organized Events, i.e. Annual Dinner,family day,Women’s day, Teachers’ day, etc. •Chinese Employee Hukou and Residence Permit (居住证) application. •HR expense application and foreigners’ house & car rental fee reimbursement •Assist in HR document and Policy English translation interpretation and draft internal documents. •HR support and all other duties as assigned by Head of HRD or HR Supervisor.
Skills/Qualifications: •Bachelor’s Degree in English or equivalent qualifications. HR or related majors is a plus. •1-2 years of working experience or intern experience in foreign staff visa application is a plus. •Fluency in English writing and conversation is a must. •Able to work comfortably with people from different cultures. •Calm, patient, well-organized and high attention to details. |
