Job Description: The main role of the Sports and Events Officer, is threefold:
1. The day to day organization and administration of the Sports Programme
2. Organistion of the Saturday Open Campus programme
3. Liaise with outside organisations or individuals when the school is hired or borrowed for external events

The Sports and Events Officer’s line manager will be the Athletics Director though he/she will also report to the Co-Principals of YCIS Shanghai – Pudong, for the second and third items above. The Sports and Events Officer will attend meetings with the PE department.

Administration Associated with YCIS Sports Teams:
• Administration for YCIS Sports Teams at both RP & CP:
– Admin support of the CCA program at both Pudong campuses, liaising with PE department and school office
– Work with the school office and Supporting Division regarding organising school buses for sports teams
– Communication for practices, games and tournaments for all sports teams internally, English (DN)
– Parental communication for practice, games and tournaments for all sports teams, English & Chinese using the YCIS Sports Blog
– Create schedules for CISSA seasons and SISAC seasons
– Preparation of Travel Day - Emergency Contact Sheet sent to coaches
– Maintaining the Blog – ensuring it is current and up to date
– Coordinating with SISAC representative for referees
– Coordinate distribution of YCIS Sports Kit with RP office and CP Support and, SISAC signing in and out each season

• Administration of Sports Events and Facilities
– Confirming dates and updating the whole school calendar throughout the year, liaise with Vice-Principals at both Pudong campuses
– Bookings for the gym, both internal and external (including late afternoon/ weekends)
– Point of contact for campus teams, such as catering, for sporting events
– Help and assist the Athletics Division (AD) with the bookings and paperwork for the hosting of any sports event at YCIS
– Ensuring facility maintenance is current and up to date

• YCIS Swim Team
– Provide parents and swimmers with information regarding the YCIS Swim Team, English & Chinese
– Create the swimming practice schedule for the year, working with MultiSport
– Inform parents about payment for the semester based on how often they swim and ensure payment through school accountant
– Communicate with the Ambassy Club regarding payment, practices, and issues that might arise
– Work with the school office and Supporting Division regarding organising school buses for practices and swim meets


Administration Associated with Saturday Activities / Open Campus
• Coordinate of Saturday Activities
– Communicate with external providers regarding timings and venues for activities
– Compile the Supervision Overview, to be signed off by the AD
– Communicate with support staff regarding venue set up (open classroom doors, water dispensers, benches, etc.)
– Follow up any issues with the Saturday Supervisor
– Inform Parents and External Providers if activities are cancelled.

Administration Associated with Events (External Organisations)
• Coordination of External Events
– Handle Initial Application and submit to Co-Principals
– Inform the applicant of the final decision
– If the activity is approved collect required plans and documentation
– Act as the point of contact between the organisers and the school leadership
– Follow a checklist of procedures for organising the event
– Communicate with relevant staff
– Keep Co-Principals and Campus Principals in the loop
– Ensure the provider / organisations have everything they need
– Ensure there are staff onsite to supervise the event
– Complete review of the ctivty and feed back to the Co-Principals


Skills/qualifications:
– Bachelor degree or above (majoring in English, Business Administration or Hotel Management...)
– 3-4 years lelated working experience
– Proficient in English (both oral and written)
– Proficient in Microsoft Office software
– Strong customer service awareness
