Job Description:
Job Requirements: The main role of the Office Assistant for the Music Department, referred to from this point as the Music Assistant, is the day to day organization and management of the In-School Individual Instrumental Programme (IIIP). The Music Assistant is a member of the Music Department and works closerly with Music staff, parents and IIIP instructors. This role requires the Music Assistant to have excellent verbal and written communication skills and to be highly organized. No prior music experience is required.

The Music Assistant’s line manager will be the Performing Arts Director. The Music Department will also receive support and guidance from the Head of Fellows in Residence and the Head of the IIIP for the Yew Chung Education Foundation, to run the IIIP programme.

The duties of the Music Assistant include:
Record Keeping:
• Issue IIIP students’ payment notice by semester and monthly payroll of the instructors
• Work with Accounts Division to arrange IIIP fees for parent
• Produce IIIP Monthly reports

Team Management:
• Assist the Performing Arts Directors in the recruitment and deployment of IIIP instructors
• Assist the Performing Arts Directors in supervising the IIIP instructors
• Assist the instructors with communicating with parents
• Arrange for instructors to attend concerts, school training and other activities
• Create a positive environment for the IIIP instructors to work at the school

Administrative Work:
• Deal with parent enquiries, complaints and requests
• Create the scheduling for all IIIP lessons and make adjustments as required
• Deal with parent applications and answer questions
• Arrange IIIP letters, emails and other forms of communication with parents
• Arrange Music room usage and facilities maintenance
• Take record of the daily attendance
• Assist the Performing Arts Director in advertising and promoting the IIIP
• Work with YCIS school office, teachers and non-teaching divisions
• Assist the Performing Arts Directors in arranging the annual IIIP Recital – include posters and programmes, transportation of the performing students, informing IIIP instructors of their responsibilities and communicating with the various divisions

The Music Assistant will carry out other tasks as required by the Performing Arts Director.

Working Hours:
The working hours for the IIIP Administrative Officer are different from other staff due to the hours in which the IIIP programme operates. The typical day for the IIIP Administrative Officer starts at around 8:45am and ends at approximately 5:45pm. The IIIP Administrative Officer is also required to work on Saturday Mornings as lessons run at this time. He/she does not work on Monday mornings in lieu of the Saturday morning commitments.
